GROUP COACHING

Group Coaching Software for Cohorts, Groups, and Programs

Vibly runs every shape of group work: closed cohorts with a start date, an end date, and a fixed number of sessions; open groups with rolling admission; and waitlists that tell you when you have enough interest to launch. You control the group chat, price members individually, and every participant keeps a full client record of their own.

A group isn’t just a bigger session

In a single practice, “group coaching” can mean:

A 12-week closed cohortAn open membership groupA corporate programA mastermindA cohort you haven’t launched yetA niche you organize clients by

Each runs differently, and each member is still an individual. On Vibly, one system holds all of it.

How group coaching works on Vibly

Most coaches run groups across a scheduling link, a consumer chat group, and a spreadsheet of who paid what. The chat has no boundaries, everyone pays the same regardless of when they signed up or what they added on, and the individual disappears into the group: no personal record, no personal notes, no way to see one member’s journey. Whether you run executive cohorts, wellness programs, or masterminds, the group deserves better plumbing.

Closed cohorts or open groups

Closed groups have a start date, an end date, and a fixed number of sessions, like a 12-week program meeting weekly. Open groups take rolling admissions; anyone who joins is invited to every upcoming event from that point on. Pick the shape per group, and blend in 1:1 sessions for any member as part of a bundle or promotion.

Consider two cohorts

Launch on a waitlist, not a guess

Promote the group before it exists, let people join the waitlist, then ask what schedule works and launch when you have quorum. Enough demand for two cohorts? Split them.

Group chat on your terms

Per group, chat is open to everyone, broadcast-only so only you can post, or off entirely. Announcements without crosstalk, discussion when you want it, silence when you don’t. Forms and resources you share go to the whole group at once, and group notes let you post session summaries. All inside HIPAA-compliant messaging.

Price and paper each member individually

Early-bird members can pay one rate and late registrations another, through custom invoices per member. Contracts can differ per member too, so the person who added three 1:1 sessions signs an agreement that says so.

Groups work with the rest of Vibly: Secure Messaging, Invoicing, Forms, and Scheduling, with Events & Workshops for standalone sessions. Every member stays a full client record.

Frequently asked questions

Can I run a fixed-length cohort and an open group at the same time?

Yes. Group type is set per group: closed with a start, end, and session count, or open with rolling admission where new members are invited to every upcoming event.

Can I control who can post in the group chat?

Yes. Per group: open to all members, broadcast-only where only you post, or chat off entirely.

Can members of the same group pay different prices?

Yes. Invoices are per member, so early-bird rates, promotions, and add-ons can differ inside one group, and each member’s contract can match their terms.

How do waitlists work?

Promote a group before scheduling it; interested people join the waitlist; you ask what schedule fits and launch when you have enough members, or split into multiple cohorts if demand is high.

Can group members also book 1:1 sessions?

Yes. Attach one-on-one sessions to any participant as part of a bundle, promotion, or standing offer, before, during, or after the group runs.

Can I use groups without running group sessions?

Yes. Organize clients by cohort or niche purely to share the right resources, forms, and updates with the right people in one send.

Is group coaching on Vibly HIPAA compliant?

Yes. Groups run inside the same HIPAA, GDPR, and SOC 2 compliant platform as everything else, including group chat. Coaches, therapists, and wellness practitioners all run groups here; see our therapists page.
